Syncing QuickBooks Online items to Salesforce Products

When a new step is created to sync Salesforce Products to QuickBooks Online Items, Autofy provides default mapping.

A good way to think about how to map items and products is to manually enter a new item in QB and manually enter a new item in SF. What fields are required for both objects? You'll want to make sure those are mapped.

In any item sync from QuickBooks, you'll want to make sure the following three mappings stay intact:

  1. The QB External ID to the SF Pricebook Entry (Lookup).Product ID
  2. The QB Full Name to the SF Product Name
  3. The QB Item Price/Rate to the SF Pricebook Entry (Lookup).List Price

Feel free to add and remove fields as you need, but you'll want to make sure the above highlighted fields remain.

Important to Remember:

  • Autofy matches items based off the QB Item Name and the SF Product Name. If the names do not match character-for-character, then Autofy will insert a new product.
  • Salesforce requires a pricebook for products and items must be active within a pricebook in order to sync during a transaction.

Syncing Salesforce Products to QuickBooks Online Items

When syncing Salesforce Products to QuickBooks Online Items, Autofy provides the following default mapping:

One important thing to keep in mind when syncing SF Products to QB Items, is that QB requires that each item be assigned to an Income Account. This is not a requirement in Salesforce. A field will need to be created in Salesforce with values that match the Income Accounts in QB. An example mapping of this:

If there is not a field in Salesforce to account for the QB Income Account, each record will fail as this is a required field in QB. 

When setting up the income accounts in Salesforce to match the income accounts in QuickBooks, do not include the account number assigned to the income account in QuickBooks. 

In the sync from Salesforce to QuickBooks, you'll want to make sure that at least the three following mappings are on your step:

  1. The SF Product Name to the QB Full Name
  2. The SF Product ID to the QB External ID
  3. The SF [Income Account field created by you] to the QB Income Account.Full Name
